For law firms

# The caller nobody called back hired another firm.

A web form comes in while intake is out, or a voicemail sits until Monday. By then the person who reached out is sitting across from another lawyer. We build the step that gives every new inquiry an owner and a deadline, so a callback never depends on who happened to be in that day.

Fixed price, quoted in writing once we've seen the handoff. Reply within one business day, no call.

## Where it slips for a law firm

Inquiry to callback. A new inquiry arrives on the day the person who handles intake is out, at lunch or in a consult. Nobody else knows it's there. When someone finally calls back, the prospect has already hired the firm that answered first, and the ad or referral that sent them to you paid for another firm's client.

Consult to signed engagement. The consult goes well and the engagement letter goes out. Then it isn't signed, nobody follows up, and a week later the prospect has gone quiet.

Document request to complete file. You need the lease, the bank statements, the prior order. The client says they'll send them. Three weeks later a paralegal is chasing from memory, between deadlines.

Staff departure to removed access. A paralegal leaves, and their Microsoft 365 account, the practice-management login and the shared drive all still work. Client files sit behind every one of those logins.

Example arithmetic: two inquiries a month that hire someone else, at $3,000 in fees each, is $72,000 a year.

## What changes

Every new inquiry has an owner and a clock from the minute it arrives, and when the clock runs out, a second person hears about it. Unsigned engagement letters come back up before the prospect goes cold. Outstanding documents live on a list with reminders nobody has to remember to send. And when someone leaves, their access goes the same day, with a record of who removed what.

## What we'd build first

One handoff, office side, with a person approving anything that matters. Usually one of these:

- An intake tracker that catches every web form, voicemail notice and referral email, gives it an owner, and escalates any inquiry that hasn't had a callback inside the window you set.
- A follow-up step for consults: an engagement letter sent but not signed gets flagged to the attorney after the number of days you choose.
- A document chase for each matter: what's outstanding, reminders to the client in wording your firm approved, sent from your own mailbox, and a status your staff can check without asking.
- Staff offboarding across Microsoft 365 and the other systems your firm uses, so access stops the day someone leaves.

What stays with your attorneys: every legal judgment, including whether to take a matter, any conflict decision and anything said to a client about their case. Software does the chasing and the record-keeping. People make the calls.

## How it works

We time the handoff as it runs today and agree the acceptance test before anything is built. Then we check what your software already does. Clio, MyCase, Lawmatics or Microsoft 365 may already have an intake or reminder feature your office hasn't switched on. When a setting fixes the problem, you'll hear that from us, even when it means there's no project. We build only what's missing, connect it to the systems you already run, and route anything that stalls to a named person. At handover you get the runbook, our access comes out, and you can switch it off yourself. Your manual process still works if you do.

Client files stay where they are. We work on the notices, lists and reminders around them, and we agree in writing what we can see before we start.

## Built and run by us

Here's what we've built and still run: onboarding and offboarding automation, an access review that checks Active Directory changes against Jira tickets so every access change has a ticket behind it, monthly restore tests through the Cohesity API, and Compass, a finance app at privatecompass.app. None of it is client work. All of it is the plumbing your handoff needs: approvals, records, and a trail of who changed what.

## What it costs

The Workflow Fix is $3,500 fixed for one handoff, about 10 business days once access and inputs are ready. A job that's clearly smaller or bigger gets a written quote between $3,000 and $4,500 before you commit. Software and licenses sit outside the price.

Fails the acceptance test we agree in writing? One free in-scope fix of up to 2 hours, then a retest. If it fails again, you choose 10% of the fee back as a partial refund or credit, up to $350.

Is your website the leak instead? The Website Build is up to five pages you own, with the contact form tested to your inbox before launch. [See the Website Build](<https://chrysisnetworks.com/services/website-build>)

Not sure what your practice-management software can already do? The $350 walkthrough is up to five hours with written findings, credited in full if you go ahead.

## Asked and answered

### How can a small law firm stop missing follow-up on new inquiries?

New inquiries get missed when they land in one person's inbox or voicemail and nobody else can see them. Chrysis builds an intake tracker that gives every web form, voicemail and referral an owner and a callback deadline, and escalates anything still uncalled to a second person, as a $3,500 fixed Workflow Fix.

### Our law firm chases clients for missing documents by hand. What can Chrysis take off the paralegals' plate?

The chase itself. Chrysis builds a per-matter list of what's still outstanding, sends reminders in wording the firm approves from the firm's own mailbox, and shows staff what's missing at a glance. Deciding what a matter needs stays with the attorney.

### Who removes a former employee's Microsoft 365 login at a law firm?

Often whoever remembers, which is how logins outlive the job. Chrysis builds an offboarding step that removes access in Microsoft 365 and the firm's other systems the day someone leaves, with a person approving each change and a record of what was removed. Anything that can't be removed automatically goes on a list for a named person to do by hand.

### Will Chrysis give legal advice or touch our trust account?

No. Chrysis works on intake, reminders, records and staff access, and never on legal judgments, client advice or trust accounting, which stay with the firm and its attorneys.

### Do we have to replace Clio or MyCase?

No. Chrysis checks what the firm's practice-management software already does before building anything and adds only the missing step around it; replacing a core system is a different purchase.

## Which inquiry is waiting on a callback right now?

Tell us where new inquiries land and who's supposed to call them back. Within one business day you'll get a written reply: whether it fits, what a fixed price would cover, and the first thing we'd check.
