For dental offices

# A supply that runs out midweek empties a chair.

Or it gets ordered twice, because two people each thought it was theirs. Meanwhile the assistant who left in the spring can still sign into the supplier account. We fix the office side of the practice, and we stay out of patient records.

## Where it slips for a dental office

Low stock to reorder. Someone notices the last box, mentions it at the front desk and assumes it got ordered. It didn't, and a procedure moves to next week. Or two people order it, and the extra sits on a shelf until it expires.

Order to delivery. The order goes in to Henry Schein, Patterson or Benco, one line is backordered, and nobody finds out until the box is opened on the day it's needed.

Staff departure to removed access. An assistant leaves. Their email, the supplier account with the practice card on file and the shared office logins still work, sometimes for months.

Time off to coverage. A hygienist's day off gets approved and the temp never gets booked. Or the temp is booked and nobody tells the front desk.

Example arithmetic: $400 of supplies ordered twice a month is $4,800 a year sitting on a shelf.

## What changes

Every supply request has one record: who asked, who approved, what was ordered and when it arrived. The items you can't run out of get reordered before the last box, not after it. When someone leaves, a checklist removes their access the same day and records who did it. And none of it touches a patient chart.

## What we'd build first

Office side only, outside your practice-management software. Usually one of these:

- A supply request and approval step with one list of what's on order, for which operatory, and what's arrived, so nothing gets ordered twice.
- A reorder reminder on the items you can't run out of, sent to whoever orders, with a backup for when they're out.
- A staff offboarding checklist across email, Microsoft 365 or Google Workspace, supplier accounts and shared logins. The practice-management login is a step your own administrator signs off; we never sign into it.
- One place for staff time off and coverage: the request, the approval, the temp booked and the front desk told.

Not what we do: patient records, charting, imaging, insurance billing, or anything inside your practice-management system. When a handoff needs patient information, it's outside our scope, and we'll tell you so before you pay for anything.

## How it works

We time the handoff as it runs today and agree the acceptance test first. Then we check what you already have: your supplier's online ordering may already keep reorder lists your office hasn't set up, and Microsoft 365 or Google Workspace may already handle the access steps. A setting that fixes it beats a project, and you'll hear that from us. When a setting can't do the job, we build only what's missing, send anything that stalls to a named person, and hand it over with a runbook. Switch it off and your manual process still works. Nothing is deleted, nothing is moved.

We agree in writing which systems we'll touch before we start, and none of them hold patient information.

## Built and run by us

Here's what we've built and still run: onboarding and offboarding automation, an access review that checks Active Directory changes against Jira tickets so every access change has a ticket behind it, monthly restore tests through the Cohesity API, and Compass, a finance app at privatecompass.app. None of it is client work. All of it is the plumbing your handoff needs: approvals, records, and a trail of who changed what.

## What it costs

The Workflow Fix is $3,500 fixed for one handoff, about 10 business days once access and inputs are ready. A job that's clearly smaller or bigger gets a written quote between $3,000 and $4,500 before you commit. Software and licenses sit outside the price.

Fails the acceptance test we agree in writing? One free in-scope fix of up to 2 hours, then a retest. If it fails again, you choose 10% of the fee back as a partial refund or credit, up to $350.

Hiring and losing staff in the same season? Booked together in one scope round, onboarding and offboarding are $5,600 for the pair instead of $7,000, with the same directory and one owner on your side. [See the terms](<https://chrysisnetworks.com/services/microsoft-365-workflow-automation>)

Not sure what your supplier portal and email can already do? The $350 walkthrough is up to five hours with written findings, credited in full if you go ahead.

## Asked and answered

### How can a dental office stop supply orders being duplicated or missed?

Supply orders slip when requests are verbal and nobody owns the reorder. Chrysis builds one request and approval list for the office, with a reminder on items that can't run out, so each order is placed once and someone hears when a delivery comes up short. The work is office side only and never touches patient records.

### A former employee's login still works at our dental office. Can Chrysis clean that up?

Yes. Chrysis builds a staff offboarding checklist that removes access to email, supplier accounts and shared office logins the day someone leaves, with a person approving each change and a record of who did what. The practice-management login stays a step for the practice's own administrator, and Chrysis doesn't sign into it.

### Will Chrysis see our patient records?

No. Chrysis stays out of patient records, charts, imaging, insurance billing and the practice-management system, and works only on office operations such as supplies, staff access and staff scheduling.

### Is this HIPAA compliance work?

No. Chrysis doesn't sell HIPAA compliance services or make compliance claims. The work is kept to office tasks that don't involve patient information, and your compliance program stays with whoever runs it today.

### Is a practice with one front desk too small for this?

Volume or consequence matters more than headcount: the Workflow Fix fits when one handoff takes about two staff hours a week, or when one miss has cost more than the $3,500 fix. Below that, Chrysis usually recommends a setting in a system the practice already has, or a bounded hourly fix at $80 to $100 an hour.

## What ran out, or got ordered twice, this month?

Tell us the handoff and who does it today. Within one business day you'll get a written reply: whether it fits, what a fixed price would cover, and the first thing we'd check. Please leave patient details out of the form.
