For accounting, bookkeeping and tax offices

# Missing documents in March turn into extensions in April.

A missing 1099 waits on a client who forgot to send it, while an e-file rejection sits in an inbox nobody checks. We build the check that gives each one an owner and a date, so your team isn't finding them the week of the deadline.

Fixed price, quoted in writing once we've seen the handoff. Reply within one business day, no call.

## Where it slips in an accounting or tax office

Document request to complete file. The organizer goes out and the documents come back one at a time, or don't. Who still owes what lives in a spreadsheet or in somebody's head, and in March nobody can say for sure which clients are still missing a K-1.

E-file to acceptance. A return is transmitted and rejected. The notice lands where one preparer looks, and that preparer is buried in other returns or out sick. Your client thinks they've filed.

Approval to action. A partner's sign-off or a client's e-file authorization sits in an Outlook thread until somebody asks where it went, usually close to the deadline.

Staff departure to removed access. Seasonal staff leave in May. Their Microsoft 365 account, the tax software login and their portal access often stay live, with client tax records behind every one.

Invoice to the books. For bookkeeping clients, supplier invoices arrive as PDFs and someone retypes every line, every month.

Example arithmetic: 150 clients with documents outstanding, three follow-ups each at five minutes apiece, is 37.5 hours of staff time in one season, before anyone opens a return.

## What changes

Every client has a list of what's in and what's missing, and the reminders go out without anyone remembering to send them. Rejections reach a named preparer the day they come back. Approvals leave a record you can still find in July. And when seasonal staff leave, their access leaves with them on the same day.

## What we'd build first

One handoff, office side, with a person approving anything that matters. Usually one of these:

- A document tracker for each client: what was requested, what's arrived and what's missing, with reminders in your office's wording and a list your team can sort by deadline.
- A rejection alert: every e-file reject notice your software can send routed to a named preparer with an age on it, and escalated if it isn't cleared in the time you set.
- An approval step in Outlook or Teams with the request, the approver, a backup for when they're out, and a record of each decision.
- Staff onboarding and offboarding across Microsoft 365 and your other systems, so seasonal hires have access on day one and lose it the day they leave.

What stays with your preparers: every tax judgment and every signature on a return. Software does the chasing and the record-keeping. People make the calls.

## How it works

We time the handoff as it runs today and agree the acceptance test before anything is built. Then we check what your software already does. TaxDome, Karbon, Canopy, SmartVault or Microsoft 365 may already send reminders or route approvals in a way your office hasn't switched on. When a setting fixes the problem, you'll hear that from us, even when it means there's no project. We build only what's missing, connect it to the systems you already run, and route anything that stalls to a named person. At handover you get the runbook, our access comes out, and you can switch it off yourself. Your manual process still works if you do.

Your tax software and client files stay where they are. How much of them we can read depends on each product's export or API, so we check that before we quote, not after.

## Built and run by us

Here's what we've built and still run: onboarding and offboarding automation, an access review that checks Active Directory changes against Jira tickets so every access change has a ticket behind it, monthly restore tests through the Cohesity API, and Compass, a finance app at privatecompass.app. None of it is client work. All of it is the plumbing your handoff needs: approvals, records, and a trail of who changed what.

## What it costs

The Workflow Fix is $3,500 fixed for one handoff, about 10 business days once access and inputs are ready. A job that's clearly smaller or bigger gets a written quote between $3,000 and $4,500 before you commit. Software and licenses sit outside the price.

Fails the acceptance test we agree in writing? One free in-scope fix of up to 2 hours, then a retest. If it fails again, you choose 10% of the fee back as a partial refund or credit, up to $350.

Drowning in documents rather than approvals? [Reviewed AI](<https://chrysisnetworks.com/services/ai-enablement>) sorts one document type into a queue your people approve: $4,500 fixed, plus model usage and software fees.

Not sure what your practice software can already do? The $350 walkthrough is up to five hours with written findings, credited in full if you go ahead.

## Asked and answered

### At a 20-person CPA firm, what should happen to a preparer's logins when they leave?

Every login should go the day they leave, with a record of who removed it. Chrysis builds one offboarding step that removes a departing employee's Microsoft 365 access and lists every other system they could reach, with a person approving each change and a record of what was removed. For a firm that size, Microsoft 365 offboarding is usually one Workflow Fix, $3,500 fixed.

### How does a tax office keep track of which clients still owe documents before the filing deadline?

Missing documents slip when the list lives in one person's head or spreadsheet. Chrysis builds a tracker that records what each client still owes, sends reminders in the office's own wording, and flags anyone still missing documents to a named person while there's time to act. Before building, Chrysis checks whether the office's portal, such as TaxDome or SmartVault, already does this.

### Our accounting firm's approvals get stuck in Outlook. Can that be fixed without new software?

Usually, yes. Chrysis builds the approval inside the Microsoft 365 the firm already pays for, with a named approver, a backup when they're out and a record of each decision.

### Will Chrysis prepare returns or give tax advice?

No. Chrysis builds the reminders, routing and records around tax work; every return, tax position and client conversation stays with the firm's preparers.

### What does it cost a bookkeeping firm to stop retyping supplier invoices from PDFs?

Chrysis can set up Reviewed AI to read one invoice type and fill in the fields for a person to check before anything is posted, at $4,500 fixed plus model usage and software fees. Nothing posts or pays until someone at the firm approves it.

## Whose documents are you still waiting on?

Tell us which handoff eats your season and which software it touches. Within one business day you'll get a written reply: whether it fits, what a fixed price would cover, and the first thing we'd check.
